Scheduling Polls

Introduction

📅 polls.e-infra.cz is a scheduling platform powered by Rallly, an open-source tool for easily coordinating meeting times across groups. It is designed to help people find the best time to meet by voting on date/time options.

It’s ideal for:

Coordinating meetings across research teams
Scheduling interviews, calls, or collaborative sessions
Avoiding lengthy email threads about availability

This instance of Rallly is self-hosted by CERIT-SC Kubernetes using the official open-source version of Rallly, deployed via Docker.

Key Features

✅ Sign-in required for poll creation – To create a poll, you must be signed in using your e-INFRA CZ account.
✅ Anonymous voting allowed – Voters can participate without logging in, but must provide a name and optionally an email address.
✅ Customizable poll settings – When creating a poll, you can choose whether providing an email address is required for participants.
✅ Email updates for organizers – Organizers receive e-mail notifications when someone votes.
✅ Finalized meeting = calendar invite – When the poll is closed, participants automatically receive an email notification and a calendar invitation (iCal), so no one can say they “missed it” next time.
✅ Privacy-respecting – Hosted by e-INFRA CZ, no third-party tracking.
✅ Free to use – No limits on the number of polls or participants.

Accessing Polls

Open-WebUI is accessible at https://polls.e-infra.cz. To use the full potential of the platform, you need a valid e-INFRA CZ account.

How Does It Work?

A scheduling poll lets you propose one or more date/time options for a meeting. Others can then vote on their availability.

Example workflow:

Go to polls.e-infra.cz
Sign in with your e-INFRA CZ account to create a poll
Click “Create a Poll”
Fill in the event name and your name/email (optional)
Choose potential date and time slots
Share the poll link with participants
Wait for votes and choose the most suitable time
Close the poll — this sends out calendar invites and a confirmation email

Guest Users vs. Registered Users

Note: Polls created without an account are not possible on polls.e-infra.cz. Only logged-in users may create polls.

🧑‍💼 Poll creators must be logged in with an e-INFRA CZ identity.
🧑 Voters do not need an account, but they are required to enter at least a name, and optionally an e-mail address.
✏️ When creating a poll, you can configure whether e-mail is required from participants.
